There is also the one touch principle, it isn’t perfect but it does get a lot of things done more quickly.  When I was doing Comm work this was a life saver.  Stuff I can take care of quickly (that actually needs a response, like my PMs 😉 ) I finish and then don’t have to go back and deal with later.  Bigger items get highlighted so when I do go back I only deal with it then.  The other big one was finding a communication system that I found efficient and directed as much of my incoming communication through that system.  Outgoing I would use anything that that person used regularly but that was when it was going in the other direction.  So if I really have to deal with each item once and then it is done and dusted items fall off my list very quickly.
